KreaMedica Inc. is a Montreal based company that develops novel medications on behalf of international biotech and pharma partners ( We use a functional outsourcing business model and work with US-based and Canadian CROs and CDMOs. Via KreaConnect we bring the AirBnB business model to biotech: a simple tool to engage seasoned industry veterans to provide regulatory, toxicology, CMC or any other drug development related expertise.

KreaMedica Inc. is currently seeking a highly organized and experienced Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will be a dynamic and proactive individual with excellent communication skills, exceptional attention to detail, and the ability to thrive in a fast-paced environment. The Executive Assistant will play a crucial role in ensuring the efficient operations of the CEO's office and supporting the CEO in managing daily responsibilities and business development activities around the globe.

THE EXECUTIVE ASSISTANT WILL HAVE THE FOLLOWING RESPONSIBILITIES:

Executive Support:

Calendar & Schedule Management

  • Manage the CEO's calendar with precision, ensuring optimal time allocation and minimal conflicts
  • Schedule and confirm meetings across multiple time zones
  • Proactively anticipate scheduling needs and adjust as priorities evolve
  • Coordinate and prioritize commitments, ensuring optimal use of the CEO's time.

Email & Communication Support

  • Draft and edit correspondence, emails, and other communications on behalf of the CEO.
  • Ensure timely follow-ups on key communications
  • Prepare travel itineraries and ensure all necessary arrangements are in place.

Travel Planning & Itineraries

  • Organize and coordinate meetings, conferences, and events.
  • Manage travel expenses and reconcile receipts in a timely manner
  • Compile and file all travel and other expense reports.

Project & Task Management

  • Prepare agendas, attend meetings, and document minutes as necessary.
  • Support CEO in managing special projects and deadlines
  • Conduct research and compile data to support decision-making.
  • Prepare and edit reports, presentations, and other documents for the CEO.
  • Proactively address challenges and contribute to problem-solving.
  • Collaborate with internal teams to keep initiatives on track

Confidential & Executive-Level Support

  • Handle and maintain confidential information with utmost discretion.
  • Provide personal assistance on select tasks, as needed

Business Development Support:

  • Collaborate closely with the Director of Business Development and the CEO in the execution of business development strategies.
  • Assist the CEO in prioritizing tasks and managing deadlines related to business development initiatives.
  • Assist in the preparation of business proposals, presentations, and other materials for client meetings and negotiations.
  • Prepare and review business contracts, agreements, quotations, and other legal documents.
  • Act as a liaison between the CEO and clients, ensuring seamless communication and a high level of client satisfaction.
  • Coordinate client meetings, prepare meeting agendas, and follow up on action items.
  • Assist in coordinating business development projects, ensuring timelines and deliverables are met.
  • Prepare bios and background information for meeting attendees, ensuring the CEO is well-informed for client interactions.
  • Facilitate trade show meetings, including scheduling, preparation of materials, and coordinating logistics to maximize business opportunities.

QUALIFICATIONS, QUALITIES AND EXPERIENCE:

  • Dedicated and meticulous, strong interpersonal and organizational skills.
  • A BSc. in a life sciences discipline is an asset; English speaking with impeccable written English spelling, syntax, and grammar. Competency in French is an asset.
  • Experience within the pharmaceutical or biotechnology industry and/or relevant drug development experience is an asset.
  • Ability to handle confidential and sensitive business information with discretion.

Comfortable in a small company environment where teamwork and multi-tasking abilities are essential.
